Terms of Service

Introduction
Welcome to the Student Activities Portal (“Portal”), operated by the WebOps & Multimedia Department on behalf of the Student Executive Committee, IIT Madras BS Degree Program. By accessing or using our web portal, API services, and related services (collectively, “Services”), you agree to be bound by these Terms of Service (“Terms”). If you do not agree with these Terms, you must immediately cease all use of the Services.
For the purposes of these Terms, “Portal Entities” includes the WebOps & Multimedia Department, the Student Executive Committee, and their respective members, developers, contributors, and agents.
The Portal provides student activity management, community engagement, event coordination, data visualization, and communication tools for the IIT Madras BS student community. Our Services are intended exclusively for enrolled students of the IIT Madras BS Degree Program.
Acceptance of Terms
By creating an account, accessing, or using the Services, you acknowledge that you have read, understood, and agree to be bound by these Terms and our Privacy Policy. You must be an enrolled student of the IIT Madras BS Degree Program with a valid @study.iitm.ac.in, @ds.study.iitm.ac.in, or @es.study.iitm.ac.in email address to use these Services.
Eligibility and Account Responsibilities
You are solely responsible for:
- Ensuring you are an actively enrolled student authorized to access the Portal.
- Maintaining the confidentiality of your Google OAuth session and not sharing access with unauthorized individuals.
- Ensuring all activity under your account complies with these Terms and applicable IIT Madras policies.
- promptly notifying us if you discover unauthorized use of your account.
You agree NOT to use our Services to:
- Impersonate another student, faculty member, or official entity.
- Manipulate voting, election, or leaderboard systems.
- Submit false, misleading, or inappropriate content including comments, event proposals, or profile information.
- Attempt to circumvent authentication, access controls, or security measures of the Services.
- Engage in automated scraping, “spamming,” or abuse of our API endpoints.
- Access or attempt to access data belonging to other users without authorization.
- Use the Services for any commercial purpose without prior written authorization.
- Violate any IIT Madras code of conduct, policies, or applicable laws.
Content Ownership and User-Generated Content
You retain ownership of content you submit to the Portal, including comments, event proposals, and profile information. By submitting content, you grant us a limited, non-exclusive license to display, process, and distribute such content solely for the purpose of providing the Services to the student community.
You represent and warrant that any content you submit does not violate the rights of any third party, including intellectual property rights, privacy rights, or IIT Madras policies.
We reserve the right to remove or moderate any user-generated content that violates these Terms or is deemed inappropriate, at our sole discretion, without prior notice.
Role-Based Access
The Portal implements a role-based access system based on your email domain:
- Admin access: Users with
@study.iitm.ac.inemail addresses receive administrative privileges, including the ability to submit and manage content on behalf of their department or committee. - Viewer access: Users with
@ds.study.iitm.ac.inor@es.study.iitm.ac.inemail addresses receive standard viewer access.
You must not attempt to escalate your access privileges beyond those assigned to your role. Misuse of administrative privileges, including unauthorized content modification or data access, may result in immediate account suspension.
Limitation of Liability
Important Liability Disclaimer
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL THE PORTAL ENTITIES BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO:
- Data Loss: Any loss of data, submissions, or profile information stored on the Portal.
- Service Interruptions: Downtime, slow performance, or unavailability of the Services.
- Third-Party Actions: Actions taken by other users, including defamatory statements, unauthorized content sharing, or misuse of publicly visible profile information.
- Election or Voting Disputes: Any disputes arising from election results, leaderboard rankings, or voting outcomes processed through the Portal.
- Inaccurate Data: Decisions made based on analytics, budgets, or other data presented on the Portal.
Liability Cap: The Portal is provided free of charge to enrolled students. To the fullest extent permitted by law, the Portal Entities shall have no monetary liability to you for any claim arising from the use of the Services.
We expressly disclaim any liability for misuse of the Portal by students, including but not limited to election manipulation, harassment, impersonation, or violation of IIT Madras policies.
Disclaimer of Warranties
THE SERVICES ARE PROVIDED ON AN “AS IS” AND “AS AVAILABLE” BASIS WITHOUT ANY WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO:
- MERCHANTABILITY or fitness for a particular purpose.
- Non-infringement of third-party rights.
- Accuracy, reliability, or completeness of data, analytics, or rankings.
- Uninterrupted or error-free operation.
- Security against unauthorized access.
We do not offer any Service Level Agreements (SLAs), uptime guarantees, or support commitments. The Portal is a student-run initiative maintained on a best-effort basis.
Indemnification
You agree to indemnify and hold harmless the Portal Entities from and against any claims, liabilities, damages, losses, and expenses, including reasonable legal fees, arising out of or in any way connected with:
- Your use or misuse of the Services.
- Your violation of these Terms.
- Your violation of IIT Madras policies or applicable laws.
- Your infringement of any third-party rights.
- Any user-generated content you submit that causes harm to a third party.
Account Suspension and Termination
We reserve the right to suspend or terminate your access to the Services at any time, without prior notice, for any reason, including but not limited to:
- Violation of these Terms.
- Disruptive, abusive, or fraudulent activity within the student community.
- Upon request by the Student Executive Committee or IIT Madras administration.
- Graduation or termination of enrollment in the IIT Madras BS Degree Program.
- Discontinuation of the Services (in whole or in part).
Upon termination, your right to use the Services will immediately cease. Profile data and user-generated content may be retained or deleted in accordance with our Privacy Policy.
Intellectual Property
The Services, including all software, design, features, and functionality, are the property of the WebOps & Multimedia Department and its licensors. These Services are protected by copyright, trademark, and other applicable laws.
Certain components of our software may be released under open-source licenses. Your use of those specific components is governed by the terms of their respective licenses. Nothing in these Terms limits your rights under those open-source licenses.
The Student Activities Portal name, logo, and associated branding are the property of the IIT Madras BS Student Executive Committee and may not be used without authorization.
Modifications to Terms
We reserve the right to modify these Terms at any time. We will notify you of material changes by:
- Posting updated terms on this page.
- Updating the “Last Updated” date at the top of this page.
- Announcing changes through official communication channels.
Your continued use of our Services after changes become effective constitutes acceptance of the updated Terms.
Governing Law and Dispute Resolution
These Terms shall be governed by and construed in accordance with the laws of India, without regard to its conflict of law provisions. In the event of a dispute, the parties shall first attempt to resolve the matter through mutual discussions for a period of 30 days before initiating arbitration. Any disputes arising out of or in connection with these Terms shall be resolved through binding arbitration in accordance with the Arbitration and Conciliation Act, 1996. The seat and venue of arbitration shall be Chennai, India. The language of the arbitration shall be English.
Severability
If any provision of these Terms is held to be invalid or unenforceable, the remaining provisions will continue in full force and effect.
